Introducing the Promotions Folder in Outlook

As of June 16, DHC has implemented a new Promotions folder in Outlook to help reduce inbox clutter and make it easier to focus on important emails.

What is grey mail?
Grey mail refers to legitimate emails that aren’t necessarily important or urgent. These can include newsletters, marketing emails, promotional messages, event invitations, and other bulk communications that can clutter your inbox. Unlike spam, grey mail comes from legitimate senders and often contains information you may want to review later.

How does the Promotions folder work?
The Promotions folder automatically separates grey mail from your primary inbox, helping keep your inbox cleaner and easier to manage. 
The system also learns from your actions. If you move an email from the Promotions folder to your inbox, Outlook will remember that preference and use it to improve future sorting.

Benefits of the Promotions folder

  • Reduce inbox clutter: By automatically organizing promotional and bulk emails, your inbox stays focused on the messages that matter most.
  • Improve productivity: Spend less time sorting through emails and more time on your work. Instead of reviewing every promotional message as it arrives, you can check your Promotions folder periodically when it’s convenient.
  • Make email management easier: The Promotions folder provides a simple way to categorize and organize incoming email without requiring manual rules or filters.
    Help identify suspicious emails more easily: When grey mail is filtered out of your inbox, it becomes easier to spot unexpected, suspicious, or potentially malicious emails that may require closer attention.

What do I need to do?
No action is required. The Promotions folder has been active since June 16 and will automatically organize eligible messages. We encourage employees to periodically review the folder to ensure no important communications have been filtered there and to move messages to their inbox if they would prefer to receive them there in the future.

By reducing inbox noise, the Promotions folder helps create a cleaner, more efficient email experience for everyone.
